About the client

A professional legal services practice that had outgrown spreadsheets, email threads, and ad-hoc file storage. As matter volume grew, the firm needed a single system for case tracking, deadlines, documents, and internal coordination — simple enough for non-technical staff to use daily.

The challenge

  • Missed deadlines from scattered calendars and manual follow-up across matters.
  • No single source of truth for case documents, notes, and status — files lived in inboxes and local folders.
  • Poor internal coordination when multiple team members touched the same matter without shared visibility.
  • Low adoption risk — any replacement tool had to work for lawyers and admin staff who are not technical users.
  • Needed a custom fit to how the practice actually runs, not an off-the-shelf product forcing process changes.

What we built

01

Matter management

  • Central case/matter records with client linkage, matter type, assigned team, and status lifecycle.
  • Dashboard view of open matters, recent activity, and items needing attention.

02

Deadline & calendar tracking

  • Court dates, filing deadlines, and follow-ups attached to matters with reminders.
  • Team-wide visibility so responsibility does not depend on one person’s personal calendar.

03

Document management

  • Matter-scoped document upload, versioning context, and retrieval — replacing email attachments and ad-hoc folders.
  • Role-based access so staff see only what their role requires.

04

Team coordination

  • User roles and permissions aligned to how the practice divides work (partners, associates, admin).
  • Activity visibility across matters to reduce duplicate effort and communication gaps.

05

Notifications

  • Email alerts for upcoming deadlines and status changes so nothing relies on someone remembering to check.

Outcomes

All open matters

Deadline visibility

All open matters tracked in one system — critical filing dates no longer live only in personal calendars

Near-zero missed critical deadlines

Missed deadlines

Near-zero missed critical deadlines after rollout (previously lost in email/calendar fragmentation)

Single source of truth

Document retrieval

Single source of truth per matter — staff stopped searching inboxes for the latest file version

Non-technical team members

Adoption

Non-technical team members onboarded and using the system daily within the first week

Shared matter visibility

Coordination

Shared matter visibility cut back-and-forth on case status across the team

Why custom vs. off-the-shelf

Generic legal software imposed workflows the practice did not use. A tailored build matched how matters, deadlines, and documents actually flow through the firm — which is what drove adoption.
